The Capteer validation workflow ensures that all Strategic Human Resource Management (SHRM) analyses are based on a dataset that is accurate, validated, and GDPR-compliant. It begins when a certified consultant invites a participant to complete a structured questionnaire. This questionnaire captures the individual’s motivational and behavioral patterns in a consistent format, enabling comparability across participants and teams.
Once the questionnaire is completed, the system generates a preliminary profile. This profile is not yet final; it serves as the basis for the validation process.
The consultant then conducts a validation interview with the participant. This conversation follows a semi-standardized and semi-structured format. The standardized component ensures consistency: every profile is validated against the same framework, in a natural conversation that also includes getting acquainted, setting development goals (if relevant), and explaining the contents of the report. The semi-structured component provides depth: consultants can explore individual nuances and verify how the reported patterns translate into real workplace behavior.
This validation step is essential for HR because it reduces the risk of bias, misinterpretation, and overreliance on self-reporting. It ensures that the dataset reflects both the participant’s self-perception and patterns confirmed in dialogue. Only after this validation does the profile become part of the organization’s SHRM dataset.
After validation, the consultant confirms the profile in the Capteer system. The participant receives access to the validated report, while the underlying data is securely stored for organizational use. Data access and governance are clearly defined:

Participants retain their GDPR rights, including access, correction, and the ability to withdraw organizational access.

The HR department (Controller) is granted access to validated data strictly for SHRM purposes, in line with the DPA.

Consultants retain access only for facilitation and coaching.

Capteer (Processor) manages and secures the platform and remains the owner of anonymized and aggregated datasets.
All personal data is stored within the EU (Amsterdam, the Netherlands), in compliance with GDPR and international data protection standards.
